Button Summary

Making a Call

Via Handpiece

    • Lift hand piece

    • Dial telephone number

Via Speaker

    • Press Speaker key

    • Dial telephone number

Via Headset

    • Press Headset key

    • Dial telephone number

NOTE:

  • Pressing # or the SEND soft key after dialling the telephone number will speed up the process

  • ‘0’ is not required for an outside line, just dial the number eg: 0412345678

Making a call When Phone is Ringing

Press X to silence incoming call to be able to make outgoing call. 

Answering a Call

To pick up a Ringing Extension

If you have a button programmed with the extension number is ringing. 

Press the flashing Button assigned with the Extension number of the extension that it is ringing.  

 

If your handset doesn’t have a button programmed with the ringing extension.  

Dial *88 

Extension number. 

If you need to finish a call and pick an Incoming call.  

 

If you are in a call and you need to hang up and pick the incoming call, just press the X button below the Arrow Pad.  

To Transfer a Call

While on the call you don’t need to press transfer or hold, just press the name of the handset you want to transfer the call, wait for the user to answer, announce the call, and then hang up.  

The call will be put through.  

To Transfer a call using the transfer feature

While on the call Press transfer. 

Then press directory.

Search 

Look for the person’s name you would like to call.  

Press Supervised Transfer. 

Transferring a call to an external number

With a call in progress 

  • Press Transfer soft key. 

  • Dial telephone number 0412 345 678. 

  • Press # or Send soft key (optional) 

  • Announce call (optional) 

  • Press Transfer soft key to complete the transfer. 

or 

  • Hang up call. 

Cancelling a Transferred Call

With a call in progress 

  •  

  • Press Transfer soft key. 

  • Dial telephone number or extension number. 

  • Press # or Send soft key (optional) 

  • Announce call (optional) 

  • To cancel transfer and return to original caller press flashing line key (typically line key 1) or press the X button below the arrow pad. 

How to forward your extension

To Forward your calls to a mobile phone or another extension. 

Dial *71 

Enter Mobile or Extension number. 

E.g. *71 04XX XXX XXX 

If it’s going to be forwarded to a mobile phone and you need the personal message on the mobile to answer the call you might need to put a timer of around 60 seconds. You can do so by pressing *60. 

E.g. *71 04XX XXX XXX * 60 

 

Toggle forward on and off. 

Once you have set a Diversion Target like your mobile you can toggle between On and Off  

Dial *73 for on and off.  

If want to set a new Forward target you need to Dial *71 and enter a new number or extension. 

 

To Undivert your extension  

Dial *72 

Parking a Call

Parking a call is the same as putting a call on hold, however the parked call can be picked up from any extension. 

With a call in progress 

  • Press a park line key – labelled Park Call 1, Park Call 2 etc. 

Retrieving a Parked Call

  • Lift hand piece 
  • Press required park line key – Labelled Park 1, Park 2 etc. 

Alternatively 

  • Lift hand piece 
  • Dial park location 701, 702 etc 
  • Press # or Send soft key (optional) 

Placing a Call on Hold

With a call in progress 

  •  Press Hold soft key. 

Retrieving a Held Call

Lift hand piece 

  • Press Resume soft key. 

Alternatively 

  • Press flashing line key (typically line key 1) 

To View Call Log/History

Without lifting hand piece 

 
Press History soft key 
Use Navigation keys to scroll through list and highlight desired entry 
To call highlighted entry press # or Call soft key 

Changing Volume

The volume keys changes volume depending on the state the phone is in 

 

  • If hand piece is in use, adjusts hand piece volume. 
  • If speaker is in use, adjusts speaker volume. 
  • If headset is in use, adjusts headset volume. 
  • If phone is idle, adjusts ring volume. 

Conference Call

With a call in progress 

 

  • Press Conference soft key. 
  • Dial telephone number of second party. 
  • Press # or Send soft key (optional). 
  • Announce conference when is call answered. 
  • Press Conference soft key to join calls. 

Do Not Disturb (DND)

Press DND soft key 

A DND indication will be displayed in the status bar when it is active. 

NOTE: if you do not have voicemail activated for your extension, callers will get a busy/engaged tone when calling your extension. 

To block your caller ID when dialling out

Block Caller ID once. 

Dial *81 

Wait for the announcement your caller ID is disabled.  

Dial the number as normal. 

 

Block Caller ID. 

Dial *67  

Wait for the announcement that the caller ID is Disabled. 

Make call as normal. (The caller ID won’t show). 

 

Unblock Caller ID 

Dial *68 

Accessing Extension Voicemail

Voicemail Notification 

  •  

  • Typically voicemail messages are sent as an email and there is no notification on the handset 

  • When a message has been left power indicator LED will flash and a VM icon will appear on status bar 

 

 

Common Features 

0 – Mailbox options 

1 – Record unavailable message 

2 – Record busy message 

3 – Record name 

4 – Record temporary message – Erase this message to return to unavailable message 

5 – Change password 

* – Return to main menu 

 

1 – Play messages 

First message will be played 

4 – Play previous message 

5 – Repeat current message 

6 – Play next message 

7 – Delete current message

Central Phonebook

Use this is to access a list of contacts that have been uploaded to the CloudPBX. Contact your administrator to update the central phonebook 

  • Press Phonebook soft key 

  • Scroll using Navigation keys 

or 

  • Search using number pad 

  • Press Call soft key to call highlighted entry 

 

Internal Extension List

Use this is to access a list of extensions on the CloudPBX 

  • Press Internal soft key 

  • Scroll using Navigation keys 

or 

  • Search using number pad 

  • Press Call soft key to call highlighted entry
